How to franchise your business: 10 steps from one location to a network

A guide for owners of profitable businesses: when a business is ready to franchise, how a franchise system is built, how long it takes and what it costs.

What is a franchise?

A franchise is a way to grow a business by sharing your proven business model, brand and know-how with independent entrepreneurs, called franchisees. Franchisees open and fund new locations, while you receive franchise fees and grow the network faster than your own capital allows.

The franchise agreement sets out the rules of cooperation, and the operations manual sets the standards for every location. Polish law has no separate franchise act, so the agreement defines the rights and obligations of both parties.

Is my business ready to franchise?

Usually yes, if the location is profitable, the way it is run can be documented and taught, and the brand stands out. One profitable location is enough, as long as its results are repeatable.

Before you start, check six areas:

  • at least one location has been profitable for at least 12 months,
  • the way the business is run can be written down as procedures and taught to a new person in a few weeks,
  • the brand stands out from competitors through its product, concept or look,
  • customers or other entrepreneurs ask whether they can open your concept themselves,
  • you know the cost of opening a new location and the payback period,
  • management has time to grow a network, not just run day-to-day operations.

How to franchise your business step by step?

Building a franchise system takes 10 stages: from getting to know the business and analysing profitability, through the franchise agreement and operations manual, to launching franchise sales. You approve each stage before we move on to the next.

  1. 01

Getting to know the business (months 1–2)
We collect data on investment and operating costs, results, marketing, training and know-how, and carry out a financial audit.

  2. 02

    Profitability analysis (months 1–2)
We point out untapped revenue sources for you and for future franchisees, and the most effective marketing activities.

  3. 03

    Competitor analysis (months 2–4)
A report on franchise systems in your industry in Poland and in selected foreign markets.

  4. 04

    Business model (months 2–4)
We present several franchise model options. Once you choose one, we prepare the documents.

  5. 05

    System concept (months 2–4)
We decide how the franchise will be presented and run, and prepare the operations manual template.

  6. 06

    Franchise prospectus (months 5–8)
Content based on approved data, with a graphic layout ready for sales.

  7. 07

    Franchise agreement (months 5–8)
Once the assumptions are agreed, the agreement is drafted by a law firm specialising in franchise agreements.

  8. 08

    Operations manual (months 5–8)
Your team fills the template with know-how while we run the process and review the content.

  9. 09

    Sales training (months 9–12)
Three three-hour sessions and five practice calls. You lead the last two yourself, and we review every conversation.

  10. 10

    Sales channels (months 9–12)
The most effective franchisee recruitment channels, a description of the sales process and message templates for candidates.

How long does it take to build a franchise?

Usually 8 to 12 months. The pace depends mostly on how quickly your team approves each stage and completes the operations manual.

How much does it cost to franchise a business?

The cost depends on the industry, the state of your documentation and your plans, so we prepare a quote after a free conversation and an initial diagnosis. We work on a project basis, as ongoing support or with part of the fee linked to results.

The scope usually covers an audit and profitability analysis, a growth model, a franchise agreement drafted with a law firm, an operations manual, a franchise prospectus and franchise sales. All documents become your property. New locations are funded by franchisees, not by you.

Which documents does a franchise need?

The core documents are the franchise agreement, the operations manual and the franchise prospectus with a unit financial model. We draft the agreement with a law firm specialising in franchise agreements.

  • franchise agreement – structure of cooperation, fees and safeguards for the franchisor,
  • operations manual – standards and know-how that every location follows,
  • franchise prospectus – an offer for candidates based on approved data,
  • unit financial model – opening cost, results and payback period.

How does a franchisor make money?

Franchisor revenue comes from several sources: the initial fee, the monthly franchise fee based on turnover, the marketing fee and network supplies. We set their levels separately for each industry, depending on margins and the chosen growth strategy.

How do you find the first franchisees?

We start with the ideal candidate profile and the channels to find them. Then we train you to run sales conversations, vet candidates before an agreement is signed and, on request, negotiate until the first franchise agreements are signed.
